Visitor submissions

Review, approve, edit and export the pins visitors send to a Crowdsourced Map, and see what is recorded about each submitter.

On this page

Submissions to a Crowdsourced Map arrive in its Pins tab, where you review them. Nothing a visitor submits appears on the public map until you approve it, unless you turned on Auto-approve submissions. Submissions caught by the hidden trap field arrive as Spam; ones over the rate limits or failing the CAPTCHA are discarded and never arrive.

Reviewing is immediate: approving, rejecting, editing or deleting a submission takes effect straight away, without the editor's Save, and Discard does not undo it.

The Pins tab

The tab shows how many submissions are waiting, and opens on Pending when there are any. When a map has submissions, its editor opens on this tab.

ControlWhat it does
StatusIcons with counts for pending, approved, rejected and spam submissions, and All
SearchSearches answers, names and emails
Filters (funnel icon)With or without a photo, newest or oldest first, and a date range
Export (download icon)Downloads the submissions currently shown as a CSV — see Exporting
RefreshChecks for new submissions

Select a row to fly the map to its pin and highlight it; double-click it or press Enter to open its details. Pins on the map are colored by status: amber for pending, green for approved, gray for rejected and red for spam.

Approve, reject or mark as spam

  • On one submission: pending rows have quick ✓ Approve and ✕ Reject buttons, and a submission's details have Approve, Reject and Mark spam (the one for its current status is hidden). After each decision the details move on to the next submission.
  • On many: tick the rows, or Select all that match the current view, then choose Approve, Reject or Spam. Up to 100 submissions are processed at a time. Rejecting and marking as spam ask you to confirm.

Marking a submission as spam deletes its photos permanently.

There is no action that sends a submission back to Pending. To change your mind, approve or reject it again.

The details view

Open a submission to see:

  • its answers, shown with the form as it was when the visitor submitted
  • its photos (never shown for spam)
  • where the pin is, and whether it is outside the submission area
  • what was recorded about the visitor — see below
  • an internal note of up to 1000 characters that visitors never see. Type it in Add an internal note (optional)…; it is saved when you next approve, reject or mark the submission as spam, and shows as Moderation note.

Use the arrows in the header, or ← and →, to step through submissions. Edit corrects the answers or the pin's latitude and longitude (photos can't be edited here), and Delete removes the submission permanently after you confirm. Copy link copies a link that opens this submission in the editor; the notification emails use the same links.

What is recorded about visitors

With each submission, Mapji stores technical details about where it came from. They help you spot abuse and duplicate submissions.

DetailWhat it is
IP addressThe visitor's IP address
IP hashA salted fingerprint of the IP address, used for rate limits
HostnameThe reverse-DNS name of the IP address, when there is one
LocationApproximate country, region, city and time zone, estimated from the IP address
FromThe website address (host) the form was sent from
Browser, OS, DeviceThe browser's user-agent string, stored as sent and read as browser, operating system and device

These details are visible only to you, in the details view and in the CSV export. They are never published on the map, in its data or in an embed. Visitor names and emails stay private unless you publish them: as a ticked Public field, or by mapping that field as the pin's title or description under Field mapping. A webhook, if you set one up, receives the answers, the visitor's name and email, the location and photo links.

Apart from submissions, public maps and embeds count page views with Vercel's cookieless analytics. The optional Microsoft Clarity and Google Analytics tools used on mapji.com itself never load on a public map or an embed.

If your map collects submissions from the public, mention in your own privacy notice that this information is collected, and keep exported files safe.

Exporting

The export downloads the submissions that match the current status, search and filters, as a CSV file of up to 100,000 rows. Each row has the submission's status, dates and coordinates, the visitor's name and email, the visitor details above except the IP hash — including the IP address and user agent — a bot flag, photo links, and one column per field of the current form. Answers to fields you have since deleted, and moderation notes, are not included.

Notification emails link straight to the submission. The link opens the map's editor on the Pins tab with that submission's details showing. If it has been deleted in the meantime, the editor says so.
